AI Bots: Identifying and Navigating the Risks Part 2

In Part 1 of this blog, I did an analysis of some of the personal and professional risks that AI bots can create in the workplace. In this blog, I will now provide my recommendations on how to mitigate the risks.

Four key words are the crux of this blog: “Verify before you implement.

Awareness and User Education is Key

Give careful consideration to what information is being fed to AI platforms. This can be done by considering personal data risks and evaluating whether the information that is being provided would be regarded as confidential in nature.

I submit that a “troubleshooting” questionnaire can be drafted by compliance officers to help employees in assessing the categories of information and help to promote informed decision-making.

Stay Compliant

Remember that the phrase “intellectual property” is not just a popular buzz phrase used by compliance officers: Be mindful not to infringe the intellectual property rights of others in using the output. Reach out to your compliance department when in doubt.

The “Legalese”

Be educated about the limitations and disclaimers provided by AI companies in relation to the use of their respective platforms. Understand the company exposure and plan accordingly.

Update. Update. Update

Updated software is an important measure as the latest updates may patch security vulnerabilities that a threat could use to attack your data.

Trust Your Resources

Do not underestimate the value of an internal IT support team – Antivirus software, firewalls, multi-factor authentication and password security are all measures that could be effectively utilized by your company. Also remember to monitor your accounts and have a policy in place that regulates network detection and response.

Develop Cybersecurity Skills

Learn to spot a “whale” and other “phishy” activities – train employees in cybersecurity and encourage them to report any suspicious activity as it relates to spotting suspicious emails.

When in doubt: Take the time to check the authenticity of the email by using a trusted alternative communication medium. It only takes a few minutes to check-but the damage of not doing so, will last infinitely longer.

Layer Your Approach

Consider the possibility of using an AI-chatbot detection system and optimize efficiency by then combining it with a human verification system.

Restrict Access

The data protection measures that are already in place to adhere to GDPR and POPIA can be just as effective to address the risks associated with AI bots.

When in doubt: Encrypt!

It is also advisable to configure chat software to use strong encryption measures for all confidential communications.

Leverage Existing Measures

Make use of the existing security measures that are available in your existing software offerings: Speak to your service provider on how to best utilize its functionality.

As indicated above, AI technology can be used for a wide range of useful purposes. But it needs to be done responsibly!

By being aware of its intrinsic risks and continuously raising awareness, you and your company can mitigate the risks associated with AI platforms whilst still enjoying all the perks.
